We are currently seeking a motivated self-starter to join the team as our cabana facilities manager. Special projects and improvement activities also fall within this job scope. Hours are flexible for this paid position, allowing you to work close to home and provide a valuable service to the community.
Salary Range: $25~$30/hour
Duties Include:
- Enforce all Cabana rules and create a safe environment at the facility.
- Responsible for all facets of facilities upkeep as approved by the board including management of cleaning service, gardening service, pool service, maintenance of pool equipment, procurement of supplies as needed Monitor and advise board on maintenance issues.
- Obtain quotes from multiple vendors for maintenance and repair projects, and bring to board with recommendations for which vendor to use.
- Manage facility rental. Responsible for keeping a master schedule and for billing and collections of fees from Individuals/organizations that rent the facility according to the board approved fee structure and rules. Inspection after each event for proper cleanup procedures, may be required on both Saturday and Sunday.
- Administer after hour key distribution according to the board approved process. collect the key payments and track in a spreadsheet on google drive
- Pickup mail from Los Gatos Post Office 2 times per week.
- Record all payments received at the Cabana for rentals/guest fees, Class D registration or after hours key purchases and mail checks to HOA accounting 2x per month and deposit cash to Bridge bank 2x per month. Scan copy of checks/deposit forms and send via email to HOA treasurer for each deposit. Dues checks should be sent using registered mail.
- Review and transmit payroll information to payroll service for all employees including lifeguards and pool manager. 1x per month off season and 2x per month once lifeguards start work.
- Provide off-season duties such as moving the dumpster/trashcans to the street. Trash duties off season- Sunday Trash out, Monday move dumpster back in, Friday move yard waste back in.
- Prepare monthly reports regarding the facility for the board meeting. Report should include detailed information indicating the number of rentals, the profile of rentals, and the rental fees associated with each rental.
- Demonstrate a positive, supportive attitude towards Belwood homeowners and all those who use the facility.
- Train and supervise the Pool Manager in all areas of facility operation and oversee their duties i.e.
- Administer ID program (pool passes) according to the board approved process via the lifeguards
- Supervise lifeguards and maintain lifeguard schedule
- Train lifeguards
- During season have lifeguards put out/return dumpster and trash cans
- Organize/schedule the swim skill training lessons
- Monitor Cabana email Monday- Friday and respond to emails within 24 hours.
- Monitor Cabana phone messages daily for emergencies
- Send all invoices or vendor notices to the HOA accounting for payment per the written procedure.
- Hire the lifeguards and collect all hiring paperwork. Lifeguard interviews must be attended by 1 HOA board member. Support hiring and payroll procedures scan paperwork to the google drive. Setup each employee in the payroll system.
- Order yearly lifeguard supplies i.e. shirts and fanny pack with whistle, lanyard, cpr mask.
- Order yearly member ID tags as directed by the board.
